SUMMARY

The Volunteer Coordinator is responsible for forging relationships with volunteers with a focus on support for the ministry and its mission and special events. The Volunteer Coordinator recruits, trains, engages and stewards volunteers on an ongoing basis. This role also tracks volunteer data and provides appropriate communication and reports. Additionally, the Volunteer is position serves as volunteer contact for businesses, civic and volunteer organizations, schools, congregations and other community groups to increase awareness and build financial and volunteer support for programs offered by the agency. This position works to meet all ministry volunteer needs and ensure volunteers feel welcomed and appreciated.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Create and execute a strategy for the recruitment and retention of volunteers.
  2. Serve as a liaison between SAMMinistries and area businesses, schools, congregations, and civic organizations, including the San Antonio Volunteer Administrators, the local San Antonio Volunteer Administration Organization; and the United Way Volunteer Services Office.
  3. Report on and manage volunteer activities to include volunteer statistics, and maintain the volunteer database.
  4. Schedule and conduct volunteer orientations, tours, participate in volunteer fairs, etc.
  5. Develop, schedule, and conduct needed training for volunteers, staff, and outside organizations as assigned, to ensure that SAMMinistries policies and procedures are consistently applied.
  6. Supervise volunteer application process including background checks on all volunteers for TLLC and other assigned program areas.
  7. Identify and cultivate relationships with volunteers that have the potential for further engagement.
  8. Plan and implement appropriate volunteer recognition and appreciation, including awards, stewardship activities, and events, etc.
  9. Maintain a database of volunteer needs for each assigned program area.
  10. Coordinate with staff to assess volunteer needs and seek to fill those needs in a timely manner.
  11. Assist in resolving conflicts that may arise between volunteers and staff.
  12. Support special events by providing volunteers, helping with planning and setup.

 

GENERAL EXPECTATIONS

  1. Develop goals, priorities, and timelines on a regular basis, ensuring timely and efficient management and completion of all related tasks.
  2. Communicate and coordinate priorities, workload, and challenges to the Mission Advancement Manager on a regular basis.
  3. Attend staff meetings and participate in organization-wide planning activities.
  4. Handle other tasks as assigned by the Mission Advancement Manager, Development Director, Chief Development Officer, or President and CEO.
  5. Keep up to date on volunteer trends by reading industry publications and attending workshops, seminars, and conferences.
  6. Undertake all activities with the highest ethical standards.
  7. Must be able to handle multiple tasks; self-direct your work conscientiously with minimal supervision;
  8. Must have a flexible schedule to accommodate working on weekends and evenings.

 

EDUCATION and/or EXPERIENCE

Bachelor’s degree from a four-year college or university in nonprofit management, communications, marketing, business, or a related discipline; minimum of one year of experience in a nonprofit organization; experience in formal business communications (letters, emails, etc.); and an understanding of vulnerable populations.

LANGUAGE SKILLS

It is imperative that the person in this position possess a high level of energy and ambition towards working with volunteers and general marketing of SAMMinistries; strong interpersonal, organizational, communication and computer literacy skills; strong attention to detail, accuracy and capable of meeting deadlines; ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and/or governmental regulations; ability to write newsletters, articles, stories, marketing materials, proposals, reports, business correspondence, and procedure manuals; ability to effectively present information and respond to questions from groups of volunteers, clients, customers, and the general public.

 

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

CERTIFICATES, LICENSES, REGISTRATIONS

Candidate must have a valid Texas Driver’s License, a good driving record, reliable transportation and proper insurance coverage on automobile used for work. Monthly mileage reimbursed for applicable and documented work-related mileage.

 

OTHER SKILLS AND ABILITIES

Ability to operate a computer, copier, fax machine, and a telephone with intercom. Ability to work in Microsoft Windows XP and Office Suite applications; a willingness to learn new programs and applications is essential; ability to follow instructions, think conceptually, set priorities and interface effectively with staff; ability to coordinate work requirements and to handle several projects simultaneously; ability to work conscientiously without supervision; must have excellent written, verbal and interpersonal communication skills and public speaking ability; ability to maintain strict confidentiality and interact well with all constituencies; ability to work independently but also be flexible in providing assistance to the “team” as needed.
